Bringing Our First Conference to Life

Strategy, Design & Creative Direction

When our team decided to host our first-ever company conference, we knew we wanted it to be more than just a gathering. We wanted it to be an experience that reflected our culture, our values, and our ambitions.

With just over 120 attendees, including internal team members, partners, and sponsors, this inaugural event was small by design but big in impact.

As the strategic and creative lead, I partnered closely with our internal events manager, who handled logistics and operations. I shaped the vision, directed the strategy, and led the creative efforts to ensure that everything—from the brand voice to the badges—felt intentional and aligned.

Setting the Vision

We started by asking: What should this event feel like? We landed on three goals: spark connection, celebrate our momentum, and create clarity about what’s ahead. From there, I helped define the event experience: how we’d position it, what kind of energy we wanted in the room, and what success would look like.

Creating the Experience

While the events lead on my team handled the day-to-day logistics, I worked in tandem as a strategic partner. I led the creative direction and produced key design work, including the visual identity, website, presentations, signage, and social content.

Hands-On Creative Work

• Website & Registration – Designed and implemented in Zuddl for a clean, intuitive user experience
• Event Branding – Created the visual identity, PowerPoint templates, wayfinding signage, badges, and branded swag
• Attendee Communications – Shaped the tone, timing, and sequence of pre-event and follow-up messaging
• Sponsor & Speaker Assets – Designed visuals for promotion, onboarding, and engagement
• Video & Motion Design – Developed motion graphics and templates for videography and session recordings

Strategic & Cross-Functional Leadership

• Experience Strategy – Defined the event’s tone, audience goals, and success metrics
• Content Oversight – Reviewed agenda structure and speaker flow to align with goals
• Stakeholder Management – Partnered with internal teams, leadership, and sponsors to align efforts
• Operational Guidance – Provided input on logistics, planning timelines, F&B, booth flow, and wayfinding
• Post-Event Strategy – Shaped follow-up communications and supported opportunity tracking from sourced leads

Outcomes and Takeaways

The event exceeded expectations. Attendees stayed engaged, internal teams felt energized, and the event set a new standard for how we show up in person.

• 77 attendees with an 85.5% show rate (exceeding our 80% target)
• 9.29/10 average rating overall and 8.93/10 for usefulness and applicability
• First opportunity sourced from the event within one week

Beyond the metrics, the event created space for direct customer connection, something our marketing team didn't always get firsthand. It gave us the opportunity to gather unfiltered feedback and build stronger relationships.

One standout moment came from a conversation with the team at Centric Infrastructure Group. They shared what resonated, what could be improved, and expressed so much enthusiasm that their leader said he plans to bring his entire team next time.

We walked away with not just data, but deeper insight into our audience and momentum to build on.
